Holiday Clubs Important Information

Who do I contact regarding a booking?

Please fill in the contact form found on the main holiday clubs page or individual course pages and someone will get back to you as soon as possible if required.

How do I pay for the clubs?

Please refer to the main holiday clubs page for more information on the booking method being used at that time.

If needed, please see information below on how to make payment directly to the Oak-Tree Group.

 

Is there any reason my booking would be cancelled?

If places are unavailable due to high demand or numbers are insufficient for any of the courses we will notify you and refund your payment.

All children are expected to behave in a disciplined and responsible manner during the courses.  We reserve the right to cancel bookings if behaviour consistently falls below the expected level.

Can I rearrange or cancel my booking?

Due to the requirement to meet the appropriate coaching/teaching ratio in advance, weeks will not be able to be rearranged, cancelled or refunded once booked.

If we are using the TicketSource booking platform, payments are made directly to TicketSource, meaning we are unable to process refunds.

Can I use childcare vouchers to pay for clubs?

What are the core club times?

Children must arrive at school for 9.30am and must be collected by 3.30pm.

Is additional before and after care available?

If your child needs to be cared for before or after the course we are offering childcare from 8.45am until 9.30am and then from 3.30pm until 4.00pm according to demand. These sessions will be charged at either £2 or £4 each and payment should be made directly to the staff. Please note that the latest time to pick up is 4.00pm. (a £5 late fee will be applied for any child collected after 4.00pm)

How will I be contacted in the case of an emergency?

Parents must ensure that the Registration Form/Booking contain all relevant emergency contact numbers and email addresses. The staff will then use this information in the case of an emergency.

Can my child attend if they are not a current Oak-Tree pupil?

Unfortunately our clubs are only open to current Oak-Tree pupils. Exceptions can sometimes be made for prospective pupils.

How do I notify staff of any medical or dietary needs?

Parents must ensure that the Registration Form/Booking contain all relevant medical and dietary information.

If needed, medication for the day must be provided, named and with clear instructions for dosage and frequency.  If necessary we have a fridge for storage of certain medicines. Course staff must be told of any medical or dietary needs.

Will lunch or refreshments be provided?

All children will be required to bring a packed lunch, clearly labelled.  No sweets or chocolate, no nuts or fizzy drinks.  Water will be available from the drinking fountains.

Are there any food or refreshments that should not be brought to school?

Do not include any nuts or fizzy drinks in packed lunches or for snacks.

Are there any items that must not be brought to school?

Please make sure that your children do not bring to school any electronic equipment, such as iPads or mobile phones.  Instead, they are welcome to bring a reading or puzzle book to read for any breaks during the day.

What should my child wear to the club?

All children will require appropriate, casual clothing and footwear for indoor and outdoor use. School uniform is not to be worn to any of the activities.

Are there any additional items of clothing my child should bring?

Please provide raincoat and wellies if it is raining. Please provide a bag containing spare clothes. Children should have sunhats and sun cream if the weather merits these (please pre-apply sun cream in the morning before they come to the activity).

What happens if my child leaves a personal item at a club?

All items handed in as lost property from a club will be listed on the Lost Property section of the Holiday Clubs page. If your item is listed, please contact us to arrange collection.
